25. All Excel Keyboard Shortcuts (Windows and Mac)

25.2 Selection Shortcuts

Example first. Ravindra Bagale wants to know the total of the Amount column without writing a formula. He clicks G1 and presses Ctrl+Shift+Down arrow (Mac: Shift+Cmd+Down arrow). G1:G11 is selected and the status bar shows Sum = 2,870 and Count = 11.

Selection shortcuts — in 30 seconds

What: Selection shortcuts select a block of cells, a whole row or column, or the whole data region from the keyboard.

Why: Exact selections matter: a chart, a Table, a copy or a format applies only to what is selected. Keyboard selection never misses the last row the way dragging does.

Tiny example: G1 then Ctrl+Shift+Down arrow selects G1:G11. Status bar: Sum 2,870, Count 11, Average 287.

First look at the data (before → after):

Practice task (try it before you open the answer):

  1. Select the City column from C1 to the last order with one shortcut.
  2. Select the whole data region.
  3. Add F2:F11 to an existing selection of G2:G11.
Answer

Click C1, Ctrl+Shift+Down arrow (Mac: Shift+Cmd+Down arrow) gives C1:C11. Ctrl+A (Mac: Cmd+A) gives A1:I11. Select G2:G11, press Shift+F8, then select F2:F11 with Shift+Arrow keys (same on Mac).

Ravindra Bagale's Tip

Before you copy a filtered list, select visible cells only. Otherwise the hidden rows travel with your copy and the report double-counts.
