14.4 Print Area and Page Breaks

Steps in Excel

  1. Select the range to print (for example the City summary A1:F40) › Page Layout › Page Setup › Print Area › Set Print Area.
  2. To add another range: select it › Print Area › Add to Print Area (each area prints on its own page).
  3. View › Workbook Views › Page Break Preview – blue lines show page breaks; drag them to change pages.
  4. Insert a manual break: select the row below where the new page should start › Page Layout › Page Setup › Breaks › Insert Page Break.
  5. Breaks › Reset All Page Breaks removes manual breaks; Print Area › Clear Print Area removes the print area.

Worked example. A 90-row city-wise orders list: set a print area A1:H90, insert a manual page break above the first row of each new city (Pune starts row 2, Nagpur row 32, Nashik row 50…) so every city manager gets their own page.
