  • Which roles use Excel in engineers
  • Every common Excel file type for this profession
  • Sample tables with realistic ₹ examples (made-up names)
  • Formulas: Line amount, With contingency, Delay days, Cost variance and more
  • Ready templates you can download and reuse

Downloads: engineers-pm-cost-tracker.xlsx (BOQ estimate + WBS tracker + plan vs actual + cost tracking + CR log)

Example data only

All names, amounts, rates and dates are made up for practice. They are not real client or employer records. Follow your organisation's own rules and software for live work.

In short

One profession → many Excel files. Each file is one clear list. Yellow cells are inputs; green cells are formulas. Start with the Roles table, then open the matching template.

Why

Some topics already have a focused lesson. Use those for depth; use this guide for the full profession picture.

What

Chapter What it covers
Excel for Mechanical (industry) BOM, job card, maintenance, RFQ.
Manufacturing production planning Capacity and finish date.
Excel for Manufacturing (industry) Plant-wide production and OEE.

How

  1. Skim the link if you need that one skill.
  2. Come back here for the full file list and templates.

1. Who uses Excel

Why

This page is project control. For BOM, job card and spares use Mechanical / Manufacturing industry guides.

What

Role Typical Excel work
Design / project engineer BOQ lines, estimates, revisions.
Project manager Plan vs actual dates, % complete.
Site engineer Daily progress qty, issues log.
Costing engineer Budget vs committed vs actual cost.

How

  1. Open Excel for Mechanical for BOM and maintenance.
  2. Open Excel for Manufacturing for OEE and production.
  3. Download engineers-pm-cost-tracker.xlsx for project sheets.

2. Every common Excel file

Why

If you only learn one dashboard, you miss the daily registers that feed it.

What

File What one row / sheet holds
Cost estimate / BOQ Item, qty, rate, amount, contingency %.
WBS task tracker Task, owner, start, finish, % complete, status.
Plan vs actual dates Baseline finish, actual finish, delay days.
Cost tracking Budget, committed, actual, variance.
Issues / CR log Change request, impact ₹, decision.

How

  1. Pick the file that matches your role.
  2. Download the template that contains that sheet.
  3. Replace yellow sample rows with your practice data (still made-up if you share screenshots).

3. Formulas people use

Why

Typed numbers go stale. Formulas update when inputs change.

What

Name Formula What it does
Line amount =qty*rate BOQ line.
With contingency =amount*(1+cont%) Buffer.
Delay days =actual_finish-baseline_finish Slippage.
Cost variance =actual-budget Overrun signal.
EV teaching =budget*%_complete Simple earned value proxy.
SPI teaching =EV/PV Schedule performance proxy.

How

  1. Open the Formulas used sheet inside each template.
  2. Change only yellow cells.
  3. Watch green cells recalculate.

3. Estimate and WBS

Why

A project without a WBS is a wish.

What

BOQ with contingency; task tracker with % complete.

How

  1. Enter qty and rate (yellow); Amount green.
  2. Update % complete; Status uses thresholds.
  3. Sum Contingency-included total at bottom.

Figure. BOQ with contingency

4. Dates and cost tracking

Why

Late and over-budget must show as numbers.

What

Delay days and cost variance sheets.

How

  1. Delay days = Actual finish − Baseline.
  2. Cost variance = Actual − Budget.
  3. EV teaching = Budget × % complete (simple classroom proxy, not full EVM).

5. Sheet previews

Why

See the layout before you open Excel.

What

Screenshots of the main sheets in the downloadable templates.

How

Scroll the figures, then download the matching .xlsx.

6. Common mistakes

Mistake What goes wrong Fix
% complete as gut feel only EV becomes fiction. Tie % to measurable qty when you can.
Ignoring Mechanical templates Plant jobs miss BOM scrap %. Use industry guides for shop-floor files.

7. FAQ

Is this full earned value management?

No — teaching proxies only. Real EVM needs PV, EV, AC standards.

8. Try at home

Try at home

  1. Total estimate with contingency?
  2. Which tasks show Status = Late?
  3. Cost variance on package PKG2?

Recap

In short

  1. 4 roles use Excel in this profession.
  2. 5 common file types are listed above.
  3. 1 downloadable templates with yellow inputs and green formulas.
  4. Rates and rules here are teaching examples only.
