21.10 Multi-Outlet Roll-up
The ask. Rani receives four sheets every month, one per outlet (Pune, Nashik, Nagpur, Kolhapur), all with the same layout. She needs a Summary sheet that adds them up, plus each outlet's share of sales, without copy-paste.
Each outlet sheet has the same layout: B2 = Sales (₹), B3 = Orders, B4 = Expenses (₹). The sheets sit next to each other from Pune to Kolhapur. Fictional:
| Outlet sheet | B2 Sales (₹) | B3 Orders | B4 Expenses (₹) |
|---|---|---|---|
| Pune | 4,12,000 | 1,450 | 21,000 |
| Nashik | 2,68,000 | 980 | 15,500 |
| Nagpur | 2,31,000 | 870 | 14,200 |
| Kolhapur | 1,76,000 | 640 | 12,100 |
What to deliver (one under the other):
- Keep the outlet sheets side by side, Pune first and Kolhapur last.
- On Summary, use a 3D SUM across the sheets for Sales, Orders and Expenses.
- Add a per-outlet table with INDIRECT so the sheet name comes from a cell.
- Add Share of sales = outlet sales ÷ total sales.
- Add AOV = Sales ÷ Orders for each outlet and the total.
- For a long-term solution, append the four sheets with Power Query instead (Module 10).
Key formulas (row 2; copy down or let the Table fill them):
Summary!B2: =SUM(Pune:Kolhapur!B2)
Summary!B3: =SUM(Pune:Kolhapur!B3)
Per outlet (A7 = Pune): =INDIRECT("'"&$A7&"'!B2")
Share: =B7/$B$2
AOV: =ROUND(B7/C7,0)
Expected result (check your numbers):
| Outlet | Sales (₹) | Orders | Share of sales | AOV (₹) |
|---|---|---|---|---|
| Pune | 4,12,000 | 1,450 | 37.9% | 284 |
| Nashik | 2,68,000 | 980 | 24.7% | 273 |
| Nagpur | 2,31,000 | 870 | 21.3% | 266 |
| Kolhapur | 1,76,000 | 640 | 16.2% | 275 |
| Total | 10,87,000 | 3,940 | 100.0% | 276 |
Total expenses = ₹62,800. The 3D SUM gives the same totals as adding the four sheets by hand.
Checks before you send it:
- All outlet sheets have exactly the same layout (same cells for the same numbers).
- A new outlet sheet placed between Pune and Kolhapur is included automatically.
- Shares add up to 100.0%.
- Sheet names with spaces are wrapped in single quotes inside INDIRECT.
Ravindra Bagale's Tip
A 3D SUM includes every sheet placed between the first and the last tab. Keep a blank "End" sheet as the last tab, so a new outlet dropped before it is always counted.
Ravindra Bagale's Tip –
Ravindra Bagale's Tip – हिंदी
3D SUM पहले और आख़िरी tab के बीच की हर sheet को शामिल करता है. आख़िर में एक खाली "End" sheet रखें, ताकि उससे पहले डाला गया नया outlet हमेशा गिना जाए.
