AI for Tally Prime: Draft Entries and Reminders (Always CA Check)
This page is not accounting or tax advice. AI tools can help you draft voucher narrations and polite payment reminders from notes you already trust. They must not post entries into Tally for you, invent GST rates, or replace your Chartered Accountant (CA). As of 23 October 2026, ChatGPT/Gemini/Claude free or paid tiers are optional drafting aids — confirm each vendor's live price if you pay. Always let a CA (or responsible accountant) review before anyone posts in Tally Prime.
Suppose Ramesh has a sample sale note for "Sharma Traders" (fake party for learning) and wants a clear narration line, plus a polite reminder email. He drafts with AI, then his CA checks GST treatment before posting. That CA gate is this guide.

What you will learn in this guide
- Why AI is only a drafting helper
- Safe narration prompts with fake parties
- Payment-reminder drafts
- A CA checklist before posting
- What never to paste
1. Suppose you need a clean narration tonight
Suppose the sale is already agreed on paper. Ramesh wants the Tally narration to be readable next month. He asks AI for wording — not for "which GST rate to use". The CA decides rates and ledgers.
2. What AI may and may not do
| AI may help | AI must not do |
|---|---|
| Draft narration text | Invent GST rates or HSN |
| Polite reminder emails | Post vouchers into Tally |
| Clarify your own notes in simple English | Replace a CA review |
| Suggest checklist questions | File returns |
Figure 1. Safe Tally AI use in five steps: use fake or redacted parties, draft narration only, draft reminder, CA checklist, post only after approval.
3. Cost note
Drafting can use free ChatGPT/Gemini tiers. This guide invents no Tally licence fee, GST amount, or AI INR price. Confirm Tally Solutions and AI vendor pages if you buy anything.
4. Worked example 1: draft sale voucher narration (fake party)
- Use learning-only names:
Party: Sharma Traders (SAMPLE — not a real customer)
Item: 10 boxes of notebooks (SAMPLE)
Amount: ₹12,000 (SAMPLE learning figure)
- Prompt:
Role: bookkeeping writing helper, not a CA.
Task: Draft a short Tally Prime voucher narration in simple English.
Facts: Sale to Sharma Traders (SAMPLE), 10 boxes notebooks, ₹12,000 SAMPLE.
Rules: Do not invent GST rate, HSN, or ledger names. Do not say the entry is posted.
Format: one narration line under 120 characters + 3 checklist questions for my CA.
- Copy only the narration style you like. Ask CA which ledgers and tax class to use.
Expected output: clear wording + questions — not a filed return.
5. Worked example 2: polite payment-reminder email
- From your ledger notes (redact bank secrets):
Party: [PARTY CODE]
Amount due: [AMOUNT]
Due date: [DATE FROM YOUR BOOKS]
- Prompt:
Draft a polite payment reminder email in simple English.
Facts only: invoice [INV], amount [AMOUNT], due [DATE].
Tone: firm but respectful. No threats. No fake legal sections.
- Send only after you verify the amount in Tally/your books.
6. Worked example 3: CA checklist before anyone posts
- Party ledger correct?
- GST/HSN as CA instructed (not from AI)?
- Amount matches invoice PDF?
- Narration clear for audit trail?
- Who posts in Tally (named person)?
- Backup taken before bulk edits?
Nobody posts until the CA or authorised accountant ticks the list.
7. Common mistakes
| Mistake | Risk | Fix |
|---|---|---|
| "AI said 18% GST" | Wrong tax | CA decides |
| Pasting full customer PAN lists | Privacy risk | Redact |
| Auto-posting scripts into company data | Corrupt books | Human post only |
| Skipping backup | Painful recovery | Backup first |
| Using live client data in public AI | Leak | Sample names |
8. Try at home
Try at home
- Draft one SAMPLE sale narration with fake parties.
- Draft one reminder with placeholders.
- Fill the CA checklist on paper (do not post).
Recap
In short
- AI drafts words; it does not replace a CA.
- Use sample or redacted parties in public AI.
- Never invent GST rates from a chatbot.
- Run a CA checklist before posting in Tally.
- You (or your CA) own every posted voucher.
Draft with AI — post only after CA check.
Frequently asked questions
Can ChatGPT file my Tally returns?
No. Returns and tax positions need authorised professionals and official portals.
Is this tax advice?
No. It is a drafting and checklist habit for learners.
Which AI plan do I need?
Free tiers are enough for short drafts. Confirm live vendor pricing if you upgrade.
What if AI suggests a ledger name?
Treat it as a guess. Your chart of accounts and CA instructions win.
