AI for GST Notice Reply: Safe Prompt Plus CA Checklist

This page is not tax or legal advice. AI tools can help you draft a polite acknowledgment or organise questions for your Chartered Accountant (CA). They must not invent GST rates, notice formats, or "how to beat" a notice. As of 23 October 2026, ChatGPT/Gemini/Claude free or paid plans are optional drafting aids — check each vendor's live price if you pay. Always verify on the official GST portal and with a CA before you send or upload anything.

Suppose a small shop gets a GST-related email or portal notice. Panic pasting the full PDF with PAN into a public AI is the wrong first move. Redact, draft an acknowledgment, build a CA checklist, and let the CA decide the legal reply. That safety path is this guide.

Full course chapter

Course chapter 22 covers small-business accounts themes. This standalone guide is the safety / CA gate landing for GST notice drafts.

What you will learn in this guide

  • Why AI is only a drafting helper
  • Redact before you paste
  • Safe acknowledgment email prompt
  • CA checklist fields to verify
  • What never to paste into public AI
  • Official portal habit

1. Suppose a notice arrives on a busy Monday

Suppose Meena's CA is in another meeting. Meena wants a calm first email: we received the communication, we are reviewing with our CA, please note our GSTIN contact mail. She does not ask ChatGPT for a loophole. She books the CA the same day.

2. What AI may and may not do here

AI may help AI must not do
Polite acknowledgment draft Invent sections, rates, or due dates
Checklist of questions for CA Tell you to ignore a notice
Explain jargon in simple English (still verify) File or submit on the portal for you
Translate tone (polite, clear) Replace a CA or advocate
Safe GST notice AI use in five steps Steps from top to bottom: 1 Do not panic paste, Avoid full PDFs in public AI; 2 Redact IDs first, PAN bank and secrets; 3 Draft acknowledgment only, No invented law; 4 Fill a CA checklist, Portal facts for review; 5 Send what CA approves, Official portal only. 1Do not panic pasteAvoid full PDFs in public AI 2Redact IDs firstPAN bank and secrets 3Draft acknowledgment onlyNo invented law 4Fill a CA checklistPortal facts for review 5Send what CA approvesOfficial portal only

Figure 1. Safe GST notice AI use in five steps: do not panic paste, redact IDs, draft acknowledgment only, fill CA checklist, then send only what CA approves.

3. Cost note

Drafting can use free ChatGPT/Gemini tiers. Paid plans are optional. This guide invents no GST fee, late fee, or AI subscription INR amount. Portal dues and CA fees are between you, the government, and your CA.

4. Worked example 1: polite acknowledgment from a redacted notice

  1. Download the notice from the official GST portal or the mail you trust.
  2. Make a redacted copy for AI: hide PAN, full GSTIN if your CA says so, bank details, and personal phone if not needed. Keep placeholder tags:
[GSTIN], [NOTICE REF], [DATE], [ISSUE IN ONE LINE WITHOUT LEGAL CONCLUSIONS]
  1. Prompt:
Role: office writing helper, not a CA.
Task: Draft a short acknowledgment email in simple English.
Facts only: We received notice [NOTICE REF] dated [DATE] about [ISSUE IN ONE LINE].
We are reviewing it with our Chartered Accountant. We will respond through proper channels.
Rules: No legal arguments. No invented GST sections, rates, or deadlines. No admission of tax liability beyond "we are reviewing".
Format: subject + 5 short lines + thank you.
  1. Read the draft. Delete anything that sounds like a legal conclusion.
  2. Send only if your CA agrees — or wait and let the CA send.

Expected output: a calm acknowledgment, not a legal defence.

5. Worked example 2: CA checklist

  1. Create a checklist Doc your CA can scan in five minutes:
- Notice reference and date (from portal)
- Portal due date as shown on official screen (do not guess)
- Tax period mentioned
- Amounts shown on portal (screenshot for CA)
- Our books: sales, purchase, e-invoice mismatches we already know
- Questions we want CA to answer
- Who will upload the reply (CA / staff) and with what review
  1. Ask AI only to reformat your checklist spelling — not to fill legal answers.
  2. Attach portal screenshots for the CA via a secure channel your CA prefers.
  3. Do not post notice PDFs in WhatsApp groups.
  4. Track CA meeting time in your calendar.

Expected output: a one-page brief that saves CA time without pretending to be advice.

6. Worked example 3: what never to paste

  1. Full PAN card image, Aadhaar, bank statement, password, OTP.
  2. Unredacted notice PDF into a public consumer AI if your CA or policy forbids it.
  3. Other clients' GST data into the same chat.
  4. Prompts like "how to hide sales" or "how to beat this notice" — refuse that use; it is unsafe and may be illegal.
  5. Prefer CA-managed tools or offline redaction when handling sensitive filings.

Ravindra Bagale's Tip

Shops ask AI "write reply so tax goes to zero". That is how people get hurt. AI drafts tone; CA owns tax positions.

7. Official sources

  1. Use the official GST portal login you already trust — beware fake clone sites.
  2. Confirm any section numbers with your CA against official materials.
  3. Keep acknowledgment of submission receipts from the portal.
  4. If you get a call asking for OTP to "resolve GST notice", treat it as a scam pattern and verify independently.

8. Beginner mistakes and quick fixes

Mistake What happens Quick fix
Full PDF into public AI Data leak Redact / ask CA first
Invented legal sections Wrong reply CA review
Ignoring due date on portal Extra trouble Calendar + CA
Fake clone GST website Credential theft Official bookmark only
Asking AI to hide turnover Legal risk Do not

9. Try at home

Try at home

  1. Practice the acknowledgment prompt with only placeholders (no real notice).
  2. Fill the CA checklist template with blank fields.
  3. Save your CA's phone and official portal bookmark in one note.

Recap

In short

  1. Not tax advice — CA and official portal decide.
  2. Redact before any AI paste.
  3. Acknowledgment drafts only, no invented law.
  4. Use a CA checklist.
  5. Never ask AI how to hide tax or beat notices.

Calm acknowledgment, redacted facts, CA review — that is the only GST-notice AI path this site teaches.

Frequently asked questions

Can ChatGPT file my GST reply?

No. Filing stays on the official portal with people responsible for the account — usually you and your CA.

Is this legal advice?

No. Educational drafting safety only.

What if AI quotes a GST section?

Ignore it until your CA confirms against official sources.

Which AI tool is best?

Any major assistant can draft tone. The tool matters less than redaction and CA review.
