Print an Excel Sheet Properly: One Page Wide, Titles on Every Page

Amir prints a 60-row order list for the Monday meeting. Column H lands on a separate page, and page 2 has no headings, so nobody knows which number is Qty and which is Amount. Four settings fix it: print area, print titles, fit to one page wide, and a page-number footer.

Printing is controlled from the Page Layout tab and File > Print (Ctrl + P). Set a Print Area, use Print Titles to repeat the header row, choose Fit All Columns on One Page (or Scale to Fit: Width 1 page), and add a footer with page numbers.

Download the practice file (print-setup-one-page.xlsx)

Excel file, 9 KB. It has the sample data used below. All numbers in this workbook are fictional teaching data, not real company figures.

Quick answer

  1. Select the data and click Page Layout > Print Area > Set Print Area.
  2. Click Page Layout > Print Titles; in Rows to repeat at top type $1:$1.
  3. In Page Layout > Scale to Fit, set Width: 1 page and Height: Automatic.
  4. Choose Orientation > Landscape if the columns are wide.
  5. Press Ctrl + P to preview, then print.

The four settings

SettingWhereWhat it fixes
Print AreaPage Layout > Print AreaPrints only the table, not notes or helper cells
Print TitlesPage Layout > Print Titles > Rows to repeat at topHeader row on every page
Scale to FitPage Layout > Width: 1 page, Height: AutomaticNo column falls onto an extra page
Header & FooterPage Setup > Header/Footer > Custom FooterPage 1 of 3, file name, date

Check page breaks before printing

  1. Click View > Page Break Preview. Blue lines show where pages end.
  2. Drag a blue dashed line to move a page break.
  3. To force a break before a row, select the row and click Page Layout > Breaks > Insert Page Break.
  4. Go back with View > Normal.

Small things that look professional

  • Page Layout > Margins > Narrow gives more room for columns.
  • Page Setup > Sheet > Gridlines prints light gridlines, easier to read than none.
  • Page Setup > Page > First page number helps when the printout is part of a bigger report.
  • Use Page Layout view (View tab) to type headers and footers right on the page.

The practice file already has all four settings, so you can open it, press Ctrl + P and compare. The 60 orders total ₹2,10,300 (cell H63), so check the total prints on the last page.

Ravindra Bagale's Tip

Set Height to Automatic, not 1 page. Fitting a long list onto one page shrinks the text until nobody can read it; one page wide and as many pages tall as needed is almost always right.

Practice task

  1. Open the Orders sheet and press Ctrl + P. Check the header row repeats on page 2.
  2. Open Page Layout > Print Titles and see $1:$1.
  3. Change Scale to Fit Width to Automatic and preview again: column H moves to another page.
  4. Set it back to 1 page wide.
  5. Open View > Page Break Preview and insert a page break before 16-Sep.
