Excel Table vs Normal Range: When to Use Ctrl + T

Shraddha keeps a fee list in cells A1:D6 with five students and a total at the bottom: =SUM(D2:D6). Next week Salman joins, she types his row under the list, and the total does not change. The formula still looks at D2:D6 only. If the list were an Excel Table, the total would include Salman automatically.

A normal range is just cells with data. An Excel Table (Insert > Table, or Ctrl + T) is a range that Excel manages for you: it grows when you add rows, copies formulas down by itself, gives columns names like Fees[Amount], and keeps filters, formatting and charts in sync.

Download the practice file (tables-vs-ranges.xlsx)

Excel file, 8 KB. It has the sample data used below. All numbers in this workbook are fictional teaching data, not real company figures.

Quick answer

  1. Click any cell inside your data.
  2. Press Ctrl + T.
  3. Check that My table has headers is ticked and click OK.
  4. Go to Table Design > Table Name and type a short name, for example Fees.
  5. Write totals with column names: =SUM(Fees[Amount]).
  6. Type a new row directly under the table. The table and the total grow by themselves.
=SUM(Fees[Amount])

The same list as a range and as a table

StudentCityCourseAmount
RuhiPuneExcel4500
ZoyaNashikPower BI6000
AmirSolapurSQL5000
RajaKolhapurExcel4500
RaniNagpurPower BI6000

Range formula: =SUM(D2:D6) gives 26000. Table formula: =SUM(Fees[Amount]) also gives 26000.

Now add one row (Salman, Pune, SQL, 5000) under each list. The range total stays 26000 until you edit the formula. The table total becomes 31000 at once.

How to turn a range into a table

  1. Remove fully blank rows and blank columns inside the data. A table needs one header row and no merged cells.
  2. Click one cell inside the data.
  3. Press Ctrl + T (or Insert > Table).
  4. Tick My table has headers and click OK.
  5. In Table Design > Table Name, replace Table1 with a clear name such as Fees. No spaces allowed.
  6. Optional: tick Table Design > Total Row to get a total at the bottom with a drop-down (Sum, Average, Count).

What you get with a table

FeatureNormal rangeExcel Table
New rowsFormulas and totals must be editedTable grows; totals and charts include new rows
Formulas=SUM(D2:D6)=SUM(Fees[Amount]) (reads like English)
New formula columnCopy down by handType once; Excel fills the whole column
Filters and banded rowsAdd yourselfOn by default
Drop-downs, PivotTables, chartsUse a fixed rangeFollow the table as it grows

Inside a table, a formula on the same row uses [@Column]. Example: type =[@Amount]*18% in a new column and press Enter. Excel fills every row and adds new rows later too.

When a normal range is still fine

  • A small one-time calculation you will not grow.
  • A print layout with merged cells (tables do not allow merged cells).
  • Cells that need a dynamic array formula that spills, such as =UNIQUE(...). Spilled formulas cannot live inside a table, so keep them next to it.
  • A sheet that is shared with very old Excel versions or other tools that do not understand tables.

To turn a table back into a range: click inside it, then Table Design > Convert to Range > Yes. Formulas change back to normal cell references.

Ravindra Bagale's Tip

Name every table on day one (Table Design > Table Name). Fees[Amount] in a formula tells the next person exactly what you meant; Table3[Column4] tells them nothing.

Practice task

  1. Open the Range sheet and type a sixth student under the list. Check that =SUM(D2:D6) does not change.
  2. Open the Table sheet. Type the same student in row 7, directly under the table.
  3. Check that =SUM(Fees[Amount]) now shows 31000 if you typed 5000.
  4. Add a column header GST in E1 and type =[@Amount]*18% in E2. Watch it fill down.
  5. Tick Table Design > Total Row and pick Average for Amount.

Frequently asked questions

What is the shortcut to create a table?

Ctrl + T (or Ctrl + L). Then confirm My table has headers.

Why can I not merge cells in a table?

Tables need one value per cell so sorting, filtering and formulas work. Use Center Across Selection outside the table if you need a heading look.

How do I remove the table but keep the data?

Click inside the table, then Table Design > Convert to Range. The data and formatting stay.

Do tables work in Excel 2016 and 2019?

Yes. Tables and structured references have been in Excel since Excel 2007.
