Excel Dashboard 100% Done by AI: Claude, Copilot or ChatGPT
Give the AI your sales data and one clear prompt. It builds the pivot tables, charts and KPIs. You only check that the numbers are right.
In short: put your file in OneDrive, open an AI helper inside Excel, paste a clear prompt that lists the dashboard parts, and let the AI build it. Then you check the totals.
Why let AI build the dashboard
Dashboards take time: pivot tables, charts, colours, layout. An AI helper does the boring parts in minutes. You spend your time checking the numbers and telling the story.
What these tools are (honest limits)
There are three real ways today. Pick the one your plan allows. Facts checked October 2026 — always verify on the provider page, because plans change.
| Tool | What you need | Honest limit |
|---|---|---|
| Copilot in Excel | An eligible Microsoft 365 plan: Personal/Family with an AI-credits plan, Microsoft 365 Premium, or a commercial Copilot licence. File saved in OneDrive/SharePoint with AutoSave on. | Availability can depend on your licence and (for work accounts) admin settings. Agent Mode is rolling out and can use Claude or GPT models, but it uses web data and referenced files, not your work data. |
| Claude for Excel | A separate add-in for Claude Pro, Max, Team or Enterprise. Works on Excel for the web, Windows (build 16.0.13127.20296+) and Mac (16.46+). Install from AppSource, then sign in. | Needs a paid Claude plan; your admin may need to allow the add-in for work accounts. |
| ChatGPT (upload) | A ChatGPT plan with file upload / data analysis. You upload a copy of the file, or paste the data. | You work on an uploaded copy, so the data leaves your machine. It returns steps/charts you paste back; it does not live-edit your local file. |
The whole flow, top to bottom
Setup — get the AI into Excel
- Copilot in Excel: sign in to Excel with your Microsoft 365 account. Save the file to OneDrive and turn AutoSave on. Click the Copilot button on the Home ribbon. For Agent Mode, open the Tools menu in the Copilot chat box (if your plan shows it).
- Claude for Excel: in Excel go to Home → Add-ins → Get Add-ins, search "Claude for Microsoft 365" in AppSource, install, then open it and sign in with your Claude account.
- ChatGPT: open ChatGPT, start a chat, and upload your
.xlsxfile (or paste the table). Use a plan that allows file upload.
Sample dataset (made-up, for practice)

| 2023-04-05 | West | Pro Mixer | Appliances | 12 | 1,80,000 |
| 2023-07-21 | South | Smart Fan | Appliances | 40 | 1,20,000 |
| 2024-01-18 | North | Office Chair | Furniture | 25 | 2,50,000 |
| 2024-11-02 | East | LED Monitor | Electronics | 30 | 3,60,000 |

Your real file can have thousands of rows with these same columns.
The master prompt (copy-paste)
This is my business sales data for 3 years (columns: Date, Region, Product, Category, Units, Sales). Build a dashboard on a new sheet called "Dashboard" with 5 parts:
1) A column chart of total Sales by Year.
2) A column chart of total Sales by Region.
3) A pie chart of Sales share by Category.
4) A pie chart of Units share by Region.
5) KPIs at the top: Total Sales, Total Units, Average Sale, and Best Region.
Use PivotTables behind the charts, add clear titles, and lay the 5 parts out neatly. Keep my raw data sheet unchanged.
Follow-up tweak prompts
- Fix a look: "Make the two pie charts show percentage labels and use one colour theme."
- Add a filter: "Add a slicer for Year that controls all charts."
- Change a metric: "Change KPI 3 from Average Sale to Sales Growth % vs last year."
- Explain: "In one line each, tell me how you calculated every KPI."
What the AI builds
- PivotTables: one per chart, summing Sales or Units by Year, Region or Category.
- Charts: 2 column charts + 2 pie charts, linked to the pivots.
- KPI cells: big numbers at the top using SUM, AVERAGE and a lookup for the best region.
- Layout: a clean "Dashboard" sheet with titles, while your raw data stays on its own sheet.
How to check the numbers (always do this)
- Check the grand total. In a free cell type
=SUM(Sales column)and compare it to the "Total Sales" KPI. They must match. - Spot-check one slice. Filter the raw data to one Region and compare its total with the chart bar.
- Count the rows.
=COUNTA(Date column)should equal the number of records the AI says it used. - Ask the AI to show its formulas and read them once. If a number looks wrong, tell the AI exactly which one.

How do you build an Excel dashboard with AI?
Copilot vs Claude add-in vs ChatGPT
Quick quiz
1. Where should the file be for Copilot in Excel?
In OneDrive or SharePoint, with AutoSave on.
2. What is the honest limit of using ChatGPT for this?
You upload a copy, so the data leaves your machine; it returns steps/charts to paste back.
3. How do you check the AI's Total Sales KPI?
Type =SUM() over the Sales column and compare. They must match.
4. Which tool keeps data most private?
A local model on your own machine. Among the cloud tools, prefer ones that work on your own file and remove names/IDs first.
