Power BI File Types Explained: PBIX vs PBIT vs PBIDS

.pbix is the full Power BI Desktop project (model + report, usually with data), .pbit is a template without imported data, and .pbids is a data-source shortcut that jumps you into Get data — three file types, three jobs.

Chala mitrano! Students say “I sent the Power BI file” and nobody knows which one. Why care? Because interviews and teammates ask for the right extension. How? We map PBIX, PBIT and PBIDS with a tiny FreshBasket (fictional) shop story. Stay with me — clear map, real numbers.

Quick answer

Vertical map:

  1. Day-to-day building → save a .pbix.
  2. Sharing a reusable shell (no data) → export a .pbit template.
  3. Jumping to a known connector → open a .pbids shortcut.
  4. Publishing to the Service happens from a .pbix / Desktop session.
  5. Do not email a huge .pbix when a template or Service share is enough.
  6. Name files clearly: FreshBasket-Sales.pbix, FreshBasket-Sales.pbit.
.pbix → full project (often with data)
.pbit → template (structure, no data)
.pbids → data-source shortcut only

Why three extensions, what each one carries

Think of a shop notebook.

  1. .pbix is the filled notebook. Queries, model, pages, and often the sales rows sit inside.
  2. .pbit is a blank worksheet with the same headings. Your friend fills their own numbers.
  3. .pbids is a sticky note that only says “open this SQL shelf”.

Tiny FreshBasket (fictional) story with numbers:

  1. Priya’s Mumbai sales are 100 Online + 40 Store = 140.
  2. She saves FreshBasket-Sales.pbix. Anyone who opens that file can see 140.
  3. She exports FreshBasket-Sales.pbit. A colleague opens it. The pages are there. The 140 is not. They connect their own database and load their own rows.
  4. She also keeps FreshBasket-SQL.pbids. Double-click opens Get data for the company server. Still no report pages.

That is why the extension is a job label, not a new product.

PBIX PBIT PBIDS Three Power BI Desktop file types .pbixfull project .pbittemplate .pbidssource shortcut files

Three Desktop file types: .pbix is the full project, .pbit is a reusable template, .pbids is a quick data-source shortcut.

What do I need before this guide?

Before and after (look at the tables first)

Before pbix PBIX holds data; three rows total 190.

Before

After pbit sample Template demo keeps 2025 rows; total 140.

After

.pbix carries data (190). .pbit is a template; a sample load might keep only 2025 → 140. .pbids is just a shortcut to Get data.

Why three extensions exist

Microsoft gave you three tools for three moments:

  1. Build and iterate with data on your PC → .pbix.
  2. Hand a starter to another analyst without shipping confidential rows → .pbit.
  3. Skip the connector hunt for a known SQL or Excel source → .pbids.

If you only ever use .pbix, you can still work. Templates and shortcuts are how teams scale cleanly.

What is a .pbix file?

A .pbix is the normal Desktop project file. Think of it as your workshop folder in one file.

What it usually contains

  1. Power Query (M) steps.
  2. Model relationships and DAX measures.
  3. Report pages and visuals.
  4. Imported data (when you used Import mode).

How you use it (vertical)

  1. File → Save / Save As while building.
  2. File → Open to continue yesterday’s work.
  3. Home → Publish to send it to a workspace.

What happens when you open it

  1. Desktop loads the model.
  2. Cards show the numbers that were saved (for Import).
  3. Your Mumbai card can still say 140 until you refresh or change filters.
File type workflow PBIX to PBIT to PBIDS flow Author .pbix Export .pbit Or open .pbids flow

Author in a .pbix, Save as .pbit to share a shell without data, or open a .pbids to jump straight into Get data for a known source.

What is a .pbit template?

A .pbit is a template: layout, queries and measures without the imported data payload.

Why you use it

  1. Every regional analyst should start from the same pages.
  2. You must not email the full fact table.
  3. Parameters (server name, folder path) should be filled at open time.

Typical path (vertical)

  1. Finish a clean .pbix.
  2. File → Export → Power BI template (wording can vary slightly by Desktop version).
  3. Colleague opens .pbit → enters sources → gets a new .pbix.
  4. Their card may show 220 or 90 — their data, same page design.

What does not travel

  1. The imported sales rows.
  2. Secrets that lived only in the compressed data of the .pbix.

What is a .pbids file?

A .pbids file stores connection information so Desktop can open Get data against that source quickly.

Mental model

  1. It is not a full report.
  2. It is not a model.
  3. It is a shortcut into the connector experience.

Useful when a team always connects to the same SQL Server or folder and wants fewer clicks.

File types compare Interview map of three file types PBIX = report + model + data PBIT = structure without imported data PBIDS = connector shortcut only

Interview map: PBIX = report + model + data; PBIT = structure without imported data; PBIDS = connector shortcut only.

Classroom decision list (vertical)

  1. “I am still designing pages with sample data” → .pbix.
  2. “Please build your own with your database” → .pbit.
  3. “Here is how we connect to prod SQL” → .pbids (plus docs).
  4. “Share with managers who only view” → Publish to Service, not a raw file dump.

Phone-bill analogy (extra clarity)

  1. Your phone bill PDF with amounts = .pbix (full story).
  2. A blank bill form the company prints for new shops = .pbit.
  3. A contact card that only opens the billing website = .pbids.

Mistakes and calm fixes

Symptom Likely cause Fix
Colleague opens file, no data They received a .pbit Expected — connect sources; or send .pbix if data sharing is allowed
File is huge Import mode .pbix with big facts Template + Service, or trim unused columns
Double-click does nothing useful Wrong app association / Desktop missing Install Desktop; open from File → Open
Published report missing Only emailed .pbids Publish a .pbix to a workspace

Ghabru naka 😅 — the extension is a label for the job, not a new product.

Ravindra Bagale's Tip

Interview trap: “What is the difference between PBIX and PBIT?” Answer in one breath: “PBIX is the full project with data; PBIT is the template without imported data.” Then mention PBIDS only if asked. Pay attention!

Practice task

  1. Save your practice file as a clearly named .pbix.
  2. Export a .pbit from the same project (if your Desktop build offers Export template).
  3. Write three bullet notes: who should get pbix vs pbit vs pbids.
  4. Open the course file-types lesson and tick what matches your notes.

Whiteboard story (words only)

  1. PBIX = filled notebook with answers written in.
  2. PBIT = printed worksheet with blanks for the next class.
  3. PBIDS = sticky note with the library shelf number (where to fetch books).

Got it? PBIX = full project. PBIT = template without data. PBIDS = source shortcut. Name the file for the job, then connect SQL Server next. Let's continue.

Frequently asked questions

What is a .pbix file?

The standard Power BI Desktop file containing your Power Query steps, model, DAX and report pages — often including imported data.

What is a .pbit file?

A Power BI template: report and model definition without the imported data, so others can connect their own sources.

What is a .pbids file?

A Power BI data source file — a shortcut that opens Get data against a predefined connection.

Which file do I Publish?

You Publish from a .pbix (or from Desktop while that project is open). Templates are for starting new projects.

Can I turn .pbix into .pbit?

Yes — export or save as a Power BI template when you want to reuse layout and measures without the dataset.
