AI for Emails and WhatsApp Business Messages (Polite, Fast, Correct)
Generative AI course · Chapter 17 · Estimated reading time: 12 minutes
Most of us write more messages in a day than any other kind of text: emails to clients, reminders to customers, replies on WhatsApp. AI can draft them in seconds, but a draft with the wrong tone can cost a customer, and a "polite" reminder that sounds rude can cost a payment. In this chapter you will learn tone control: how to tell the AI exactly how firm, how warm and how short a message should be. You will write a payment reminder in 3 levels, reply to an angry complaint, reply in English to a customer who wrote in Marathi, and save your best replies as quick replies in WhatsApp Business.
What you will learn in this chapter
- The 4 tone controls: warmth, firmness, length, formality
- A payment reminder in 3 levels
- Reply to an angry complaint without making it worse
- Reply in English to a message in another language
- Make AI drafts sound like you, not like a robot
- Save replies as WhatsApp Business quick replies
- A 30-second check before you press Send

Need the same message in Marathi or Hindi? Read the guide AI Translate English to Marathi and Hindi: 3 Free Tools. It compares three free tools and shows how to check names, numbers and tone.
1. Suppose a customer has not paid for 45 days
Suppose we are Ganesh, owner of a small printing press in Aurangabad. A regular customer, a coaching class, has not paid an invoice of ₹18,500 for 45 days. We do not want to lose the customer, but we need the money.
Our first try with AI:
Write a payment reminder.
A typical answer (yours will be similar, not the same):
Dear Valued Customer,
We hope this message finds you well. This is a gentle reminder that your payment is overdue.
We kindly request you to make the payment at your earliest convenience...
It is polite but vague: no amount, no invoice number, no date, and "Valued Customer" sounds like a bank. The customer will read it and forget it.
The fix is not a better tool. It is a better instruction about tone and facts.
2. The 4 tone controls
Every message has 4 dials. Tell the AI where each dial should be.
| Dial | Low | High |
|---|---|---|
| Warmth | Neutral, to the point | Friendly, personal |
| Firmness | A gentle nudge | A clear deadline and next step |
| Length | 2 lines (WhatsApp) | A full email |
| Formality | Casual ("Hi Rohit") | Formal ("Dear Mr. Joshi") |
And always give the facts: who, what, how much, which date, what you want them to do.
The message prompt template:
Write a [WhatsApp message / email] from me, [your role], to [who], about [topic].
Facts: [amount, invoice number, dates, what happened].
Tone: warmth [low/medium/high], firmness [low/medium/high], formality [casual/formal].
Length: under [N] words.
End with: [the one action you want them to take].
Do not add facts I did not give.
The 4 tone dials for any message
3. Worked example 1: a payment reminder in 3 levels
Write 3 versions of a WhatsApp payment reminder from me, Ganesh of Shree Printers, to Mr. Joshi of Joshi Classes.
Facts: Invoice SP-2047 for ₹18,500, for 2,000 printed brochures, delivered on 3 September. Payment due in 15 days. Not paid yet.
Version 1: warmth high, firmness low (first reminder).
Version 2: warmth medium, firmness medium (second reminder, 1 week later).
Version 3: warmth low, firmness high (final reminder: if not paid by 31 October, we will hold new orders).
Each under 60 words. Formal but friendly ("Namaskar Joshi Sir"). Do not add facts I did not give.
Expected output (yours will be similar, not the same):
Version 1
Namaskar Joshi Sir, hope the new batch is going well! A small reminder about invoice
SP-2047 for ₹18,500 for the 2,000 brochures delivered on 3 September. Whenever convenient,
please share the payment. Thank you for your continued trust in Shree Printers.
Version 2
Namaskar Joshi Sir, following up on invoice SP-2047 (₹18,500, brochures delivered on
3 September). The payment was due 15 days after delivery. Could you please confirm the
date we can expect it? Thank you – Ganesh, Shree Printers.
Version 3
Namaskar Joshi Sir, invoice SP-2047 for ₹18,500 is still pending since September.
Please clear it by 31 October. If it is not received by then, we will have to hold new
orders until the account is settled. Thank you for understanding – Ganesh.
Check it:
- Amount, invoice number and dates exactly right in all 3.
- Version 3 states the consequence calmly, with no insult and no threat beyond what we decided.
- Nothing invented (no "late fee of 2%" that we never mentioned).
Now we have a reminder ladder. Save it, and next time change only the facts.
4. Worked example 2: reply to an angry complaint
Angry messages make us want to defend ourselves. AI is useful here because it does not get angry, but only if we tell it the right shape.
Suppose a customer writes to our shop on WhatsApp:
Your delivery boy came 2 hours late and the cake was damaged. Worst service. I will post this on Google.
Prompt:
You are the owner of a small bakery. Reply to this angry WhatsApp message.
Shape: 1) say sorry once, sincerely; 2) show you understood the 2 problems (late, damaged);
3) give one clear fix: [our fix]; 4) one line to make it personal. No excuses, no blame, under 70 words.
Our fix: a full refund today or a fresh cake delivered free tomorrow, the customer can choose.
Message: [paste]
Expected output (yours will be similar, not the same):
We are truly sorry. A delivery that was 2 hours late and a damaged cake is not what you
should get from us, especially for a special day. Please choose what you prefer: a full
refund today, or a fresh cake delivered free tomorrow at a time that suits you. I am
personally checking with our delivery team about what went wrong. – Sunita, owner
Why it works: it names both problems (the customer feels heard), gives a real choice (the customer feels in control), and does not argue about the Google review. Many angry customers calm down when they feel heard and get a clear fix.
Check it: only promise what you can really do. If a same-day refund is not possible with your payment system, change the fix before sending.
Ravindra Bagale's Tip
Shop owners often reply to an angry message within a minute, while angry themselves, and add "but our delivery boy says you were not at home". The customer then posts the screenshot. Never send the first reply in anger. Paste the message into the AI with the 4-part shape, read the draft once, and then send. The 2 minutes you spend save your reputation.
5. Worked example 3: a customer writes in Marathi, you reply in English
Suppose a customer of an online saree shop in Bengaluru writes in Marathi. The owner, Kavitha, does not read Marathi. The message says (English meaning):
"I ordered a Paithani saree for my daughter's wedding on 12 November. The tracking has not moved for 4 days. Will it come in time? I am very worried."
Steps:
- Copy the customer's message exactly as it is.
- Paste it with this prompt:
This customer message is in Marathi.
1. Translate it into simple English so I understand it fully.
2. Tell me the customer's main worry in one line.
3. Draft my reply in simple English, warm and reassuring, under 70 words.
Facts from me: the courier says it will be delivered by 6 November; I will share the new tracking link today.
4. Also give the same reply in Marathi, so I can send both.
Do not promise anything except these facts.
Expected output, the English reply (yours will be similar, not the same):
Hello, congratulations on your daughter's wedding! I completely understand your worry.
I have checked with the courier: your Paithani saree will be delivered by 6 November,
well before the 12 November wedding. I will send you the updated tracking link today.
If anything changes, I will tell you immediately. Thank you for your patience.
The AI also gives a Marathi version of the same reply. Before sending a reply in a language you do not read:
- Paste the AI's Marathi reply into a new chat and ask:
Translate this into English exactly. - Check that the meaning matches your English reply (dates, promises).
- If possible, ask one person who reads the language to look at it once and save it as a template.
This "translate back" check catches most mistakes, like a wrong date or a promise you did not make.
6. Make it sound like you
AI drafts often sound the same: "I hope this message finds you well", "kindly", "at your earliest convenience". Customers notice. Three fixes:
- Give a sample of your style: paste 2 messages you wrote yourself and say "Write in the same style as these."
- Ban phrases: "Do not use: hope this finds you well, kindly, valued customer, at your earliest convenience."
- Read it aloud. If you would not say it on the phone, change it.
You can save these rules in custom instructions or in a project, as you learned in the "Save your best prompts" chapter.
7. Save replies as WhatsApp Business quick replies
When you have a perfect reply, do not ask the AI again next week. Save it inside WhatsApp Business as a quick reply.
Steps (WhatsApp Business app):
- Open WhatsApp Business and go to Tools.
- Tap Quick replies, then add a new one.
- Paste your message (for example, version 1 of the payment reminder), with blanks like
[invoice]and[amount]for the parts that change. - Choose a shortcut, such as
/remind1, and save. - In any chat, type
/and pick the quick reply. Fill the blanks and send.
WhatsApp's help page says you can save up to 50 quick replies. The same Tools menu also has a Greeting message (sent automatically when a customer messages you for the first time, or after 14 days without messages) and an Away message (for outside business hours). Draft both with AI using the tone controls.
Good quick replies to make first:
| Shortcut | Use |
|---|---|
/price |
Price list and how to order |
/address |
Shop address, timings, map link |
/remind1, /remind2, /remind3 |
The 3-level payment reminder |
/sorry |
The complaint reply shape, with a blank for the fix |
/thanks |
Thank you after a purchase, with a review request |
8. Emails: the extra parts
Emails need 2 things WhatsApp messages do not:
- A clear subject line. Ask:
Give 3 subject lines under 8 words. Include the invoice number. - One email, one purpose. If you need a payment and a new order discussion, send 2 emails, or put the main ask in the first line.
A useful email prompt:
Rewrite my email below. Keep my meaning and facts. Put the main request in the first 2 lines.
Formal, polite, under 120 words, with a subject line. Then list anything unclear in my original.
Email: [paste]
9. The 30-second check before Send
- Facts: names, amounts, invoice numbers, dates.
- Promises: only what you can actually do.
- Tone: read it as the customer would. Too cold? Too sweet?
- Nothing invented: no new fees, discounts or deadlines you did not decide.
- Language: if it is in a language you do not read, did you do the translate-back check?
10. Compare the 4 tools
| Task | ChatGPT | Gemini | Claude | Copilot |
|---|---|---|---|---|
| Tone versions of one message | Good | Good | Good | Good |
| Translate and reply (Indian languages) | Good | Good | Good | Good |
| Draft inside your email app | Copy and paste | Copy and paste (Gmail has its own AI features on some plans) | Copy and paste | Copilot in Outlook on eligible Microsoft 365 plans |
| Save a reusable helper | Project | Skill | Project | Saved prompt |
For WhatsApp, every tool works the same way: draft in the AI app, copy, paste, check, send.
11. Beginner mistakes and quick fixes
| Mistake | What happens | Quick fix |
|---|---|---|
| "Write a reminder" with no facts | A vague message nobody acts on | Give amount, invoice, dates and the action |
| No firmness level | Too soft or too harsh | Set warmth and firmness |
| Replying to anger in anger | Screenshots and bad reviews | Use the 4-part shape and wait 2 minutes |
| Sending a translation unchecked | A wrong date or promise | Translate back in a new chat |
| AI phrases like "valued customer" | Sounds like a robot | Ban phrases; give your own samples |
| Asking AI for the same reply every week | Wasted time, changing wording | Save it as a quick reply |
12. Try at home
