AI PPT Maker: Make a Presentation with ChatGPT, Gemini, Copilot or Gamma

Generative AI course · Chapter 19 · Estimated reading time: 14 minutes

A presentation is 2 jobs: what to say (the outline and the words) and how it looks (the slides). Most "AI PPT maker" videos skip the first job and jump to pretty slides with empty content. In this chapter we do it in the right order. First you build a strong outline with any chat AI. Then you turn it into slides with the tool you have: Gamma (free credits), Copilot in PowerPoint (eligible Microsoft 365 plans), Gemini Notebook (slides from your own PDFs), or a short Python script that makes a real .pptx file. You will make a college seminar, a sales pitch and a training deck from a PDF.

What you will learn in this chapter

  • Outline first, slides second
  • The slide outline prompt (one idea per slide)
  • Make slides with Gamma on the free plan
  • Make slides with Copilot in PowerPoint
  • A training deck from a PDF with Gemini Notebook
  • Make a .pptx from an outline with Python
  • Speaker notes and practice questions
  • Check facts, images and rights before you present

1. Suppose the seminar is on Monday

Suppose we are Sakshi, a T.Y. B.Com student in Satara. Our professor gives us a seminar topic on Friday: "A plastic-free campus", 8 to 10 minutes, on Monday.

We open an "AI PPT maker", type plastic-free campus and get 12 beautiful slides with stock photos of oceans and sentences like "Plastic pollution is a global crisis affecting millions." Nothing about our campus, no plan, nothing the professor can ask us about.

The better way takes 20 minutes:

  1. Ask a chat AI for an outline that fits our audience and time.
  2. Fix the outline with our own facts (our canteen, our bins).
  3. Then turn it into slides.

2. The slide outline prompt

You are a presentation coach. Make a slide outline for a [N]-minute talk.
Topic: [topic]. Audience: [who]. Goal: after the talk, the audience should [what].
Rules:
- One idea per slide. A heading of max 6 words and 3 or 4 bullet points of max 10 words each.
- Slide count: [N] (including a title slide and a thank-you slide).
- Use my facts below. Where a fact or number is needed and I did not give it, write [check].
- After the outline, give speaker notes for each slide: 2 or 3 sentences I can say.
My facts: [your facts]

The [check] rule works like [number?] in the resume chapter: the AI shows where a fact would help, and you find the real one.

Outline first, slides second Steps from top to bottom: 1 Audience and goal, Who listens, what they should do; 2 Outline prompt, One idea per slide, max 4 bullets; 3 Fix the check items, Real facts or your own observation; 4 Make the slides, Gamma, Copilot, Notebook or Python; 5 Notes and practice, Speaker notes, one timed run. 1Audience and goalWho listens, what they should do 2Outline promptOne idea per slide, max 4 bullets 3Fix the check itemsReal facts or your own observation 4Make the slidesGamma, Copilot, Notebook or Python 5Notes and practiceSpeaker notes, one timed run

3. Worked example 1: a college seminar

Prompt (filled in):

You are a presentation coach. Make a slide outline for an 8-minute talk.
Topic: a plastic-free campus. Audience: classmates and 2 professors. Goal: they agree to a 30-day pilot.
Rules:
- One idea per slide. A heading of max 6 words and 3 or 4 bullet points of max 10 words each.
- Slide count: 7 (including a title slide and a thank-you slide).
- Use my facts below. Where a fact or number is needed and I did not give it, write [check].
- After the outline, give speaker notes for each slide: 2 or 3 sentences I can say.
My facts: our canteen uses plastic cups and spoons; the stationery counter gives plastic bags;
bins are not separated; about 2,000 students; I want a 30-day pilot with steel cups and cloth bags.

Expected output (yours will be similar, not the same):

Slide 1 – Plastic-Free Campus: A 30-Day Plan
  Seminar by Sakshi More, T.Y. B.Com

Slide 2 – The problem on our campus
  - Canteen uses single-use plastic cups and spoons
  - Plastic bags at the stationery counter
  - Bins are not separated into wet and dry

Slide 3 – Why it matters
  - Plastic waste blocks drains in the monsoon [check]
  - Cups and spoons are used once, then thrown away
  - Small daily changes add up across 2,000 students

Slide 4 – Our 30-day plan
  - Week 1: survey canteen and counters
  - Week 2: steel cups and cloth bags pilot
  - Week 3: separate bins with clear labels
  - Week 4: count waste and share results
...
Speaker notes, slide 2: "Every day in our canteen, hundreds of plastic cups are used once..."

Fix the [check] items. "Plastic waste blocks drains in the monsoon": find a source (for example, a municipal corporation notice or a news report on your city) or reword it to what you have seen yourself: "Last monsoon, the drain near our gate was blocked with plastic." Your own observation is often more powerful than a general claim.

4. Turn the outline into slides: 4 ways

Way Cost (October 2026) Best for Watch out for
Gamma (gamma.app) Free plan: 400 credits at sign-up that do not refill; up to 10 slides per prompt Good-looking slides fast Free PDF and PPTX exports carry a "Made with Gamma" badge
Copilot in PowerPoint Eligible Microsoft 365 plans (Personal or Family owner with AI credits, Premium, business plans) Working inside PowerPoint Needs the right plan; check every slide
Gemini Notebook (formerly NotebookLM) Free plan has limited slide decks Slides from your own PDFs and notes In India a visible watermark is added on slide decks and infographics
Python (python-pptx) Free Many decks in the same format, full control Plain design; needs a little Python

ChatGPT can also create presentation files in ChatGPT Work where your plan supports it; the free plan has limited Work access on desktop. Check your account before you rely on it.

Way 1: Gamma

  1. Go to gamma.app and sign up (the free plan needs no card).
  2. Choose Create with AI, then the option to paste in text.
  3. Paste your corrected outline (not just the topic). Choose the number of slides (up to 10 per prompt on the free plan).
  4. Pick a theme, generate, and edit any slide by clicking on it.
  5. Export: Share → Export → PowerPoint or PDF.

Pasting your outline gives you your content with Gamma's design. Typing only a topic gives you Gamma's content, which is the problem from section 1.

Way 2: Copilot in PowerPoint

  1. Open PowerPoint with an eligible Microsoft 365 account (saved to OneDrive).
  2. Open Copilot (the button is in the lower-right corner of the presentation).
  3. Ask: Create a presentation from this outline: and paste the outline. You can also ask Copilot to use a Word file that holds your outline.
  4. Review each slide: wording, images, order.

If Copilot does not appear, use the same checks as in the Excel chapter: lower-right corner, account that owns the plan, update the license, privacy settings.

5. Worked example 2: a sales pitch

Suppose we are Imran, a sales executive for a company that sells water purifiers to offices in Hyderabad. We need a 6-slide pitch for an office manager.

Prompt:

Make a 6-slide sales pitch outline for an office manager of a 50-person office.
Product: our office water purifier (facts below). Goal: book a free 7-day trial.
Structure: 1) their problem, 2) cost of the problem, 3) our solution, 4) proof, 5) offer, 6) next step.
Rules: one idea per slide, max 4 bullets, no claims I did not give; write [check] where proof is needed.
Facts: 3 filter stages; service visit every 3 months included; 2 offices in Hitech City use it;
monthly rental ₹1,499 including service; free 7-day trial.

Expected output, slides 4 and 5 (yours will be similar, not the same):

Slide 4 – Offices that already use it
  - 2 offices in Hitech City use our purifier
  - [check] a short quote from one office manager
  - Service visit every 3 months, included

Slide 5 – Simple monthly plan
  - ₹1,499 per month, service included
  - No large upfront cost
  - Free 7-day trial before you decide

Notice: the AI did not invent "99.9% pure" or "trusted by 500 companies". Our rule stopped it. Before the meeting, ask one of the 2 offices for a real quote and permission to use their name.

Ravindra Bagale's Tip

Sales decks made by AI often include big claims: "best in India", "No. 1 brand", "99% customer satisfaction". A client who asks "where is that from?" ends the meeting. Put "no claims I did not give" in every pitch prompt, and use one real customer quote instead of 5 big adjectives.

6. Worked example 3: a training deck from a PDF

Suppose we are Deepa, an HR executive in Noida. We must train new joiners on the company's 25-page leave policy (a PDF). We want a 10-slide deck and a short quiz.

Using Gemini Notebook (formerly NotebookLM):

  1. Open notebook.google (the old notebooklm.google.com link redirects there) and create a new notebook.
  2. Add the leave policy PDF as a source. (Use a document you are allowed to upload. For practice, use a public policy or the sample leave policy from the tool comparison chapter.)
  3. In the chat, ask:
Using only this policy, make a 10-slide outline for training new joiners.
One idea per slide, max 4 bullets, simple English. Cite the section for each slide.
End with 5 quiz questions with answers, each answer with its section number.
  1. Check the citations: click them to see the exact part of the PDF.
  2. Optionally, use the Slide deck option in the notebook (if your account shows it) for designed slides (limited on the free plan; a visible watermark is added in India), or paste the outline into Gamma or PowerPoint.

Expected output, one slide (yours will be similar, not the same):

Slide 4 – Sick leave
  - 8 days of sick leave per year (Section 2)
  - Medical certificate needed for more than 2 days in a row (Section 2.3)
  - Inform your manager before 10 am on the day (Section 2.4)

The section numbers let you check every rule against the PDF. In HR training, a wrong rule on a slide can become a wrong rule in the whole team.

7. Bonus: make a .pptx from an outline with Python

If you make many decks in the same format (weekly reports, training sessions), a short script saves time. Ask the AI to give the outline as JSON (you learned JSON in the structured output chapter), then run this script.

Install once:

pip install python-pptx

outline.json (from the seminar example; shortened here):

{
  "title": "Plastic-Free Campus: A 30-Day Plan",
  "subtitle": "Seminar by Sakshi More, T.Y. B.Com",
  "slides": [
    {"heading": "The problem on our campus", "points": ["Canteen uses single-use plastic cups and spoons", "Plastic bags at the stationery counter", "Bins are not separated into wet and dry"]},
    {"heading": "Our 30-day plan", "points": ["Week 1: survey canteen and counters", "Week 2: steel cups and cloth bags pilot", "Week 3: separate bins with clear labels", "Week 4: count waste and share results"]}
  ]
}

make_ppt.py:

import json
from pptx import Presentation

data = json.load(open("outline.json", encoding="utf-8"))
prs = Presentation()

cover = prs.slides.add_slide(prs.slide_layouts[0])
cover.shapes.title.text = data["title"]
cover.placeholders[1].text = data["subtitle"]

for s in data["slides"]:
    slide = prs.slides.add_slide(prs.slide_layouts[1])
    slide.shapes.title.text = s["heading"]
    body = slide.placeholders[1].text_frame
    body.text = s["points"][0]
    for point in s["points"][1:]:
        body.add_paragraph().text = point

prs.save("seminar.pptx")
print(f"Saved seminar.pptx with {len(prs.slides)} slides")

Run it:

python make_ppt.py

Output (real, with the full 6-slide outline plus the title slide, run on 19 October 2026 with python-pptx 1.0.2):

Saved seminar.pptx with 7 slides

Open seminar.pptx in PowerPoint or Google Slides and apply a design (in PowerPoint, the Design tab). The content is yours; the design takes 2 minutes.

8. Speaker notes and practice

Slides are not the talk. Ask for help with the talk too:

Here is my slide outline. For each slide, write speaker notes I can say in about 1 minute,
in simple spoken English. Then list 5 questions the professor may ask, with short answers based only on my slides.

Practise once aloud with a timer. If a slide takes more than 90 seconds, cut a bullet.

9. Before you present: the check

  1. Facts: every number and claim has a source or is your own observation. No [check] left.
  2. Images: use images you are allowed to use (your own photos, the tool's licensed images, or free-to-use image sites). Do not copy logos or photos of other companies' products.
  3. Badges and watermarks: free exports may carry a tool badge or watermark. Fine for college; check the rules for client decks.
  4. One idea per slide: if a slide has 8 bullets, split it.
  5. Readability: at least 24-point text, dark text on a light background (or the reverse).

10. Beginner mistakes and quick fixes

Mistake What happens Quick fix
Typing only a topic into a PPT maker Generic slides, nothing about you Outline first, with your facts
8 bullets per slide Nobody reads it One idea, max 4 bullets
Big claims in a sales deck Lost trust in one question "No claims I did not give"
Training slides without sources Wrong rules spread Gemini Notebook citations or section numbers
Using all free Gamma credits on drafts No credits left for the final Fix the outline first, then generate once
No practice Running over time Speaker notes plus one timed practice

11. Try at home

Try at home

Task 1: an outline

  1. Pick a topic you could present at work or college.
  2. Use the slide outline prompt with your own facts.
  3. Replace every [check] with a real fact or your own observation.

Task 2: slides

  1. Paste the corrected outline into Gamma (free plan) or Copilot in PowerPoint.
  2. Generate once, then edit 2 slides by hand.
  3. Export as PowerPoint and open it.

Task 3: from a PDF

  1. Add a public PDF (a scheme guide or a manual) to Gemini Notebook.
  2. Ask for a 5-slide outline with section citations.
  3. Click 2 citations and check them.

Recap

In short

  1. A presentation is 2 jobs: what to say (outline) and how it looks (slides). Do the outline first.
  2. The outline prompt: audience, goal, one idea per slide, max 4 bullets, [check] for missing facts, speaker notes.
  3. Gamma's free plan gives 400 one-time credits and up to 10 slides per prompt; free exports carry a badge.
  4. Copilot in PowerPoint works on eligible Microsoft 365 plans; it opens from the lower-right corner.
  5. Gemini Notebook (formerly NotebookLM) makes training outlines from your PDFs with citations.
  6. A short python-pptx script turns a JSON outline into a real .pptx file.
  7. Sales decks: no claims you did not give; one real customer quote beats big adjectives.
  8. Before presenting: facts, image rights, badges, one idea per slide, readable text.

Write the outline for your next presentation today, before you open any slide tool. You will finish faster, and your slides will be about you.
